Job Type: Temporary, full-time. Hybrid working. The City of London Corporation are seeking a Private Office Coordinator to play a pivotal role in supporting incoming Lord and/or Lady Mayors as they prepare for their year in office. This role is crucial in ensuring the Mayoralty fulfils its business, civic, ceremonial, and charitable functions effectively. The ideal candidate will possess strong political acumen, strategic foresight, and the ability to operate with discretion and initiative. Day-to-day of the role: Coordinate activities that support incoming Lord/Lady Mayors in their preparation for office, including scheduling meetings, developing agendas, and maintaining live programmes.Provide secretarial support for the Mayoral Advisory Board, including scheduling meetings, room booking, and logistical preparation.Assist in the planning of thematic events aligned with organisational priorities.Manage incoming correspondence related to future Lord/Lady Mayors, ensuring proper triage to appropriate contacts or teams.Maintain a clear and organised filing system for all correspondence and documentation.With oversight from the Senior Private Secretary, negotiate and coordinate with external stakeholders to establish Mayoral programme arrangements.Ensure timely and adequate provision of written briefings for incoming Lord/Lady Mayors by collating information related to meetings and events.Conduct web-based research on strategic priorities to advise on topical issues relating to the Mayoralty.Write briefing materials and guidance, and maintain programming records and stakeholder records.Schedule, prepare agendas for, and chair team meetings, ensuring the completion of actions.Provide high-level administrative support to the Private Office and assist in welcoming high-profile guests to functions.
