We are looking for a dedicated School Operations Associate to join our team and help us ensure that families and the community are true partners in the work that we do.

  • WHAT YOU’LL DO

As the Operations Associate, you will be responsible for

  • Front Desk Management
  • Serve as the first point of contact between Ingenuity Prep and its students, families, staff, vendors and neighborhood community by greeting and documenting all visitors
  • Monitor and control access to the school building, including opening and closing the school
  • Answer phones, respond to inquiries, and accurately process messages
  • School Registrar Responsibilities
  • Collect, review and verify daily attendance to completion, including tracking and entering tardies, ensuring teacher submission.
  • Enter accurate student attendance information into the student information system.
  • Support school in meeting or exceeding school attendance goals, attendance incentive programs and corrective action initiatives
  • Create and maintain secure student files, including registration materials, permission slips, progress reports, and other relevant materials
  • School Operations Support
  • Provide administrative support for the school including preparation of school mailings, faxing, scanning, document organization and maintenance; and creation of various documents for correspondence and communications to staff and families
  • Complete Medical Administration training and administer medication and basic first aid if school nurse is not available
  • Report building maintenance needs to the appropriate individual and support coordination with vendors and custodial staff on repairs, deliveries and installations
  • Organize and inventory all items for staff and resource rooms
  • Recruitment, Admissions, and Enrollment
  • Coordinate with Ops leadership to move all new and returning students through the enrollment process
  • Answer questions from prospective families about enrollment
  • Advocate for the school model and community in such a way that encourages prospective families to complete enrollment
  • Share details on school model and Ingenuity Prep core values to support families in choosing Ingenuity Prep
  • Process student applications/enrollment and communicate with families about the status of applications
  • Monitor and report enrollment paperwork completion/submission to leadership regularly
