Job Description Senior Billing & Collections Specialist Contract: Full-time, permanent Team: EMEA Finance – Billing & Collections Office Location: Sheffield, UK The role: The Senior Billing & Collections Specialist will the first point of escalation for day-to-day team process and protocol questions; providing a source of technical expertise to ensure key objectives are met. They will also help support the communication channels between the team and other areas of the business, by dealing with incoming queries and low-level escalations, as well as being a key contact for the education of the business on finance issues. They will play a key part in supporting the Finance Services Supervisor and Collections Manager in enacting change, identifying and delivering training and assisting with project-based work. The Senior Billing & Collections Specialist will facilitate timely and accurate invoice submission, invoice query management, billing reporting, client protocol development and documentation, and managing collections activities. They will work to improve billing accuracy, monitor work flows, liaise with Billing & Collections Support Team, IPMs, Central Billing Team, management and case teams, and report on the performance of various aspects of the billing cycle. Other key responsibilities will include: Assigning and delegation of team workload Work with managers to provide the necessary training to case teams and other support functions. Exercise judgment in identifying and escalating matters to managers attention and above, as appropriate Execute service delivery according to client – specific protocols and service level agreements, whilst maintaining strong working relationships Maintain understanding of billing terminology, billing reports and ability to accurately apply specific billing instructions across multiple jurisdictions Maintain client billing information within Fragomen Connect system Ensuring timely and accurate invoice submission to clients based on agreed upon timelines Creating and maintaining protocols within the Client Protocol Library Working with Management to review current processes with an eye on improving and documenting, implementing automation solutions where possible Collaborating with other teams / stakeholders around the business to influence, train and educate on billing and finance matters Reviewing and understanding Client Fee structures, billing, Invoice submission and collections processes Auditing client invoices for accuracy and produce consolidated billing reports / Invoices for clients Supporting the Collections Manager with any ad hoc tasks Act as a role model for more junior members of staff, assisting them to develop their core competencies to the level required The team: The finance specialist team is focused on providing the highest level of service to some of Fragomen's biggest clients; putting our established client working relationships front and centre in everything we do. What we are looking for: Essential criteria: Relevant experience within finance, in a billing or collections role, with focus on managing order to cash processes for clients Ability to demonstrate tangible results in resolving complex billing and collections problems along with reducing aged AR Experience of seniority within a team and will be able to demonstrate strong organisational skills, with the ability to prioritise tasks effectively Be an excellent communicator – both written and verbal – and be comfortable building positive working relationships Excellent time management skills with ability to manage varied and heavy workload Ability to identify, prioritise, and manage small projects, understand core objectives and be solution driven, as well assisting with larger projects Analytical mindset with a willingness to learn how to analyse and forecast data Plan and prioritise workload in conjunction with their own deadlines as well as supporting the team, where necessary, to ensure delivery of agreed client service standards Effectively manages relationships with team members, managers, clients and other relevant bodies gaining their confidence through displaying professionalism, expertise and efficiency in all communications Assists in the review/improvement of methods/procedures of managing day to day relationships Strong excel skills, example V-look ups and pivot tables What we offer: A career at Fragomen will provide you with the opportunity to work in an exciting environment for a broad range of clients, where no two days will be the same.
