Full-time, two-year fixed-term contract located at the School of Information Technologies (J12) Exciting opportunity to provide a broad range of administrative, operational and organisational support in a growing and fast-paced environment Base Salary, HEO6 $103,185 - $111,237 p.a. + 17% superannuation About the opportunity The John Grill Institute for Project Leadership has an exciting opportunity for an experienced Senior Administration Officer to support administrative, operational and organisational activities within the Institute. The Senior Administration Officer will be responsible for the day-to day management of the administration requirements of the Institute Manager and Institute leadership team, including high level executive support, ensuring effective consultation and communication between relevant stakeholders, record keeping, coordinating meetings and preparing relevant paperwork, reporting and communication services of the Institute. Your key responsibilities will be to: provide executive administrative support to the Institute leadership team and Institute Manager, including preparation of correspondence, communications, presentations and other documents manage the delivery of administration activities and services, manage purchasing, record keeping, CRM support and reporting support the delivery of conferences, workshops, and engagement related activities as needed by the Institute respond to complex enquiries regarding a wide range of work activities including research, executive education and engagement arrange, coordinate and drive action items from the Institute meetings, committees and engagement activities coordinate the procurement and travel process within the Institute, liaise with the relevant centres of expertise to ensure compliance and accurate submission of requests undertake ad-hoc projects and other activities as required in the role. As such, we see the importance of recruiting talent aligned to these values and are looking for a Senior Administration Officer who has: proven ability to manage multiple priorities, maintain attention to detail and deadlines to deliver high-quality administrative support in a fast-paced dynamic environment strong stakeholder engagement skills with the ability to clearly communicate with a variety of stakeholders, the ability to influence others to action, and experience in handling a wide range of enquiries across different channels and stakeholders at all levels high-level computer literacy skills, including proficiency with Microsoft Office Suite, and experienced with relevant University systems, including UniBuy, Concur, CRM systems (SalesForce) or similar databases and data management skilled in managing correspondence and enquiries across multiple channels, including email and social media demonstrated ability to positively contribute to a team, focusing on accomplishing team goals and assisting other team members as and when required experienced in a similar role within a professional or education-focused setting (highly regarded).
