Your team:
The Facilities team is a small and friendly group of five people who are passionate about creating an enjoyable work environment for both staff and visitors.

Your role:
We have an exciting opportunity for a Receptionist to join our Front of House / Facilities team at Pan Macmillan at our office in Farringdon, London. You will be working on a broad range of reception and administration tasks, managing the switchboard and the helpdesk. You will be the first point of contact and an information point for our guests and colleagues. Reporting to the Head of Facilities, you will work closely with the other Receptionist and with teams both internally and externally.

Your working pattern will alternate weekly between 8:30am-5pm and 9:30am-6pm.

Your key responsibilities:

  • Welcoming guests and building relationships with returning authors, agents and visitors

  • Answering all calls in a warm and friendly manner

  • Developing a good knowledge of the reception environment

  • General upkeep of the reception area

  • Providing administrative support to the Head of Facilities

  • Logging and following up on facilities issues, maintaining the helpdesk and liaising with contractors and suppliers

  • Acting as an information point for both staff and visitors.

Essential experience, abilities and knowledge you’ll need to succeed:

  • Highly organized and comfortable in a fast-paced environment

  • Flexible during busy times as well as being self-motivated during quieter times

  • Exceptional attention to detail

  • Experience working in a customer-facing position

  • Collaborative, with excellent oral and written communication skills

  • Enjoy being helpful to others

  • Ability to have a positive impact on the people you interact with, leaving them with a memorable experience

  • Knowledge of health and safety practices in an office environment

  • Experience working with systems and tools such as MS Office, Google Workspace and Biblio

  • Desire to be part of a team that works hard, supports each other and has fun along the way

  • Demonstrable passion for books and working in the publishing industry.

Desirable skills we’d love you to have:

  • Switchboard experience in a front-of-house environment.

Salary: £27,500

This is a full time, permanent role, and will be based in our offices in Farringdon, London.
