Reporting to the Compliance & Certification Team Leader, the Purchase Card Administrator reviews and processes transactions on the HSBC portal made by engineers using their purchase cards.​

The role also involves managing equipment hire orders through preferred suppliers and providing support to the Certificates and Compliance team as needed.

Job Description

In this role, you will manage engineer expenses and hire processes by maintaining email records, processing receipts, and uploading costs to the CAFM system (Maximo). You will liaise with engineers, managers, suppliers, and clients to resolve queries, arrange equipment hire and delivery, and ensure timely off-hire to avoid excess costs.​

You will monitor and correct error logs, process escalations, and maintain accurate work order records. Additionally, you will handle portal administration, including receipts, transaction queries, card issues, password resets, and monthly cycle reports. Building strong relationships across teams will be essential to ensure smooth operations and compliance with financial and hire procedures.

This position requires excellent organisational skills, attention to detail, and the ability to operate efficiently in a fast-paced environment while maintaining compliance and supporting the wider team.

Key Responsibilities

Manage engineer expenses and hire processes, including processing receipts, maintaining emails, and uploading costs to CAFM (Maximo).

Liaise with engineers, managers, suppliers, and clients to resolve queries, arrange equipment hire/delivery, and ensure timely off-hire to avoid additional costs.

Monitor and correct error logs, process escalations, and maintain accurate work order records.

Handle portal administration, including receipts, transaction queries, card issues, password resets, and monthly cycle reports.

Provide support to the Certificates and Compliance team as required.

Review and process purchase card transactions and supporting documentation via the HSBC portal.

Process orders for hiring equipment through preferred suppliers.

Build and maintain strong relationships across teams to ensure smooth operations and compliance with financial and hire procedures.

Professional and Personal Competencies/Qualifications

Experience in adhering to customer and business KPIs and SLAs.

Ability to monitor and respond to short-term work volume variations, ensuring team coverage to meet demand.

Experience working in a fast-paced environment.

High level of accuracy, attention to detail, and strong problem-solving skills.

Good organisational skills with a proven ability to meet deadlines.

Experience in reporting and communicating data to clients and team members.

Team-oriented, approachable, and collaborative, encouraging advice sharing.

Well-organised, with the ability to multi-task, prioritise, and manage competing demands.

Working knowledge of Microsoft Excel and other Microsoft applications.
