- We’re looking for a Project Coordinator to join our fast-growing Projects & Delivery team. You’ll work alongside Project and Delivery Managers who’ll coach you day-to-day and help unblock issues quickly. We offer a clear progression path as you develop.
- This role is ideal for early-career professionals or career changers with transferable skills (e.g. in administration, operations, or customer service) who are looking to move into project delivery. We welcome recent graduates as well as candidates with practical experience.
- This role focuses on supporting the efficient, structured delivery of ongoing client retainers , ensuring work is well-planned, efficiently executed, and delivered to a high standard. You’ll assist in keeping activity on track, coordinating with existing squads, and helping clients consistently get great results.
- You’ll support the planning, coordination, and optimisation of delivery across a portfolio of retainers, ensuring work is efficient, high quality, and delivered on schedule. Your primary focus will be on assisting with continuous delivery and improvement for long-term clients.
- You’ll work alongside our cross-functional delivery squads, sharing accountability for client success and bringing together different disciplines to keep delivery on track.
- You’ll operate in a fast-paced agency environment across well-known D2C and B2B brands to help bring structure and foresight to continuous delivery, assisting with Jira to manage sprint cycles and fortnightly releases that keep client retainers running smoothly. With a focus on efficiency, quality, and collaboration, you’ll help our squads stay organised, deliver consistently, and maintain high client satisfaction.
- What You’ll Do
- Delivery Support
- Under the guidance of Project/Delivery Managers, assist in managing multiple client retainers and smaller projects, ensuring backlog tasks are delivered efficiently through sprint cycles.
- Support roadmap planning, scheduling, and resourcing to ensure continuous, efficient progress.
- Help ensure all work meets defined SLAs, timelines, retainer budgets, and quality standards.
- Track time and budget utilisation to ensure delivery stays within agreed limits and meets internal performance expectations.
- Client Support
- Support the building of strong, trusted relationships with clients through proactive communication and transparent reporting.
- Alongside a Project/Delivery Manager, assist in hosting regular client check-ins, documenting follow-ups, and ensuring clear next steps.
- Help build backlogs and spot opportunities for growth within existing retainers, adding value through insights, enhancements, and new initiatives and flag these to the Account and Success Managers.
- Process & Performance Assistance
- Ensure ticket quality, QA handovers, and release planning are consistently managed in Jira.
- Support utilisation and delivery efficiency across our squads, contributing to profitable outcomes that influence overall client profitability.
- Escalate risks early and resolve blockers to keep momentum high.
- Maintain compliance with time tracking, quality assurance, and delivery standards.
- Collaborate with others in the Project & Delivery team, as well as the wider Velstar agency to align squad workloads, resolve blockers quickly, and maintain high quality standards across all deliverables.
- Growth & Collaboration
- Support the continuous improvement of delivery processes.
- Contribute ideas that make our teams, workflows, and outcomes stronger.
- Collaborate with Account Managers to support client growth by highlighting opportunities, while remaining focused on operational delivery, utilisation, and efficiency rather than commercial ownership.
- Clear routes to progress as your skills grow, with milestones towards increased delivery responsibility.
- What You’ll Bring
- At least 1 year’s experience as a Project/Delivery Coordinator (or similar role) in an agency, digital, or eCommerce environment or relevant experience in coordination, operations, customer-facing, or administrative roles with transferable skills. Equivalent education will also be considered.
- An understanding of retainer management, with experience working directly with clients and assisting with delivery against defined budgets.
- Excellent organisational, communication, and stakeholder management skills.
- Strong commercial awareness and problem-solving instincts.
- Familiarity with Agile or service management principles.
- A proactive, detail-oriented mindset. You don’t just manage tasks, you drive outcomes.
- Comfortable working in a fast-paced environment and switching between projects and priorities.
- Bonus Points
- Experience with managed backlogs, sprint planning, and ongoing release cycles.
- An ability to support cross-functional squads, ensuring designers, developers, and QAs work efficiently together.
- Experience using Jira (or similar).
- Experience in Shopify, digital marketing, or B2B platform delivery.
- Conflict resolution or negotiation skills.
- A basic understanding of managing projects.
- Passion for emerging technologies and digital innovation.
