JOB PURPOSE

To be responsible for all store administrative requirements and ensure they are to company standard. To be responsible for coordinating all maintenance and Health and Safety requirements.

KEY RESPONSIBILITIES

  • Conduct any necessary staff training identified for administrative and operational needs.
  • Conduct consistent training for all incoming employees to achieve company standard on both systems and procedures.
  • Have regular communication briefings with the wider team to ensure effective communication on processes and procedures.
  • Enroll the team onto Training on the online platform – working closely with DM.
  • Have a good understanding of till procedures and operation.
  • Ensure that all team members are adhering to the Company procedures and following internal control requirements.
  • Responsible for the end of day and end of month reporting process and follow up of discrepancies identified in a timely manner / within 5 working days from identification.
  • Monitoring and maintaining petty cash levels.
  • Maintain an adequate supply of stationary, packaging and cleaning products, hygiene / maintenance supplies and sundries in accordance with budget.
  • Ensure all Consummables are ordered for the store
  • Order Business cards when necessary.
  • Ensure invoices are verified, by the relevant manager and forward to accounts department.
  • Ensure “CITES” documents are completed correctly as required.
  • Produce any forms ie; security count sheets as necessary.
  • Manage all Uniform orders for the store and work closely with management team to ensure all team members have correct uniform.
  • Process all expenses claims for trips and manage cash advances for trips when requested.
  • To keep the all data relating to personnel secure and in keeping with the Data Protection Act.
  • Organise and arrange all Selfridges Passes for all requests.
  • To maintain accurate holiday, sickness, absence and timekeeping records.
  • To administrate starters, leavers and transfers.
  • To arrange all Selfridges Store approvals/ Inductions / workday access for new joiners -
  • To control and record the locker allocation for members of staff.
  • To control the issue and return of the seasonal uniforms.
  • To be able to resolve staff queries regarding wages, sickness and holiday entitlement etc.
  • Responsible for monitoring and updating the signing in and out sheets.
  • To prepare and e-mail timesheets on a regular basis after being checked and approved by the Manager.
  • Ensure EVO is updated and accurate on a weekly basis .
  • Monitor and record staff purchases at your store ensuring the correct approval had been obtained.
  • To complete and send the updated weekly Competitor Report to DM + RFC +DS.
  • To be a key contact for all issues relating to Maintenance/ Accts/ IT for queries.
  • Support the management team on the Store CRM database and ensure maximum capture rate.
  • Ensure the administration, till and reception areas are kept to the highest standards possible.
  • Maintain the highest standards of housekeeping within the store in particular back office, externally and internally.
  • Ensure that Health and Safety standards required by the Company are maintained.
  • Carry our regular checks of the store accident book and report any entries to Facility Manager and Store Manager.
  • Carry out weekly Health and Safety checks of the store and highlight and issues arising.
  • Ensure weekly alarm test record in kept in good order and up to date.
  • Ensure records of fire evacuations are kept up to date.
  • Carry out any Risk Assessments as and when required with the Support of the Facility Manager, ie: pregnant employees.
  • Ensure the staff Notice Boards have up to date and relevant data pertaining to H & S at all times.

Similar experience within a luxury or premium brand
Being able to work in a team as well as alone
Excellent communication and interpersonal skills
Fluency in English
