- Casual Opportunity within the Program Management Office Team (UI) Great Opportunity for current USYD students to gain experience HEO5 Step 1 $61.44 + superannuation About the opportunity The University of Sydney’s University Infrastructure PMO team are seeking a PMO Administrator to join the team on a Casual Basis. This role will support the PMO team with a variety of administrative tasks such as ensuring adherence to compliance standards and assisting Project Managers with reporting. Your key responsibilities will be to: Converting ideas to projects Clarity system conversions Reviewing Gate Papers Check submissions for completeness, accuracy, and alignment with governance standards. Flag missing approvals, outdated templates, or policy gaps. Liaise with PMs to resolve issues before submission deadlines. Updating ICT Cost Plans – monthly reforecast Maintain and update cost plans in line with actuals and forecasts. Coordinate PMs to validate inputs. Follow up with PMs on compliant tasks Track outstanding actions related to procurement, approvals, and reporting. Send reminders and escalate where needed. Maintain a compliance list and liaise with PMs to update Processing funding requests (RFF, variations, Return of Funds (ROF) Review and submit Requests for Funding, variations, and ROF forms. Ensure documentation meets UI requirements and financial controls. Track approvals and update any general notes Creating new Clarity and Aconex users Set up user profiles with correct access levels and project links. Provide onboarding support and basic troubleshooting. Maintain user records and deactivate inactive accounts. Monitoring PMO inbox Triage incoming emails and assign actions or responses. Flag urgent items and follow up on unresolved queries. Keep a log of recurring issues or requests for clarifications or decisions Updating SharePoint (minor updates) Make small content changes (e.g. links, dates, document uploads). Ensure version control and naming conventions are followed. Suggest improvements to layout or navigation if needed. Clarity data cleansing (as required) Identify and fix data inconsistencies (e.g. duplicate entries, missing fields). Run periodic checks to support reporting accuracy. Work with PMs to validate project data. About you Has relevant tertiary qualifications or equivalent work experience within a similar field Has Experience with the Excel and the full Microsoft 365 suite Experience with Clarity and Aconex will be advantageous but not required Has excellent written and verbal communication skills Sponsorship / work rights for Australia Please note: Visa sponsorship is not available for this position. This role requires valid work rights for Australia.
