Job Description: Personal Assistant Fixed Term Contract (12 Months) London/Staines/Manchester (flexible on location) From £35,000 + Fantastic Benefits Full time (37.5 Hours) We consider all types of flexibility, including locations, hours and working patterns. The role The role holder is accountable for working closely with Director(s) and Senior Manager(s) to provide administrative support to make the best use of their time by dealing with secretarial and administrative tasks. You will provide support for BSP Distribution Director, Director of SME & Ops, and 3 of their Direct reports. You’ll help us make health happen by Providing a comprehensive and highly confidential PA service for the Director(s)/Senior Manager(s) to a professional and high standard of service. This includes effective diary management and ensuring optimum use of time. Providing a focal point for direct reports and stakeholder and internal and external communications, including the cascading of information. To support the goals/projects of the area including the management and coordination of progress reporting against plans and projects Support the Director / Manager by Assistance in drafting / creating and editing presentations, preparation board papers, documents, briefing notes and correspondence Recording / tracking of actions from key meetings Monitoring emails and responding within agreed authority levels Arranging meetings and conferences both internally and externally Booking travel and support on personal expenses Monitor team budgets (inc. accruals and completing invoice authorisation forms) as appropriate Managing incoming phone calls by filtering and re-directing them as appropriate Liaising with other departments as required eg. including IT, catering and facilities Raise purchase orders and process invoices for payment, liaise with finance in urgent cases. Establish and maintain strong working relationships with other PA’s across Bupa Key Skills / Qualifications needed for this role Previous experience of providing PA support to Directors, / Senior Managers across different locations Experience of operating in highly confidential and sensitive environments in line with data protection obligations Experience of project reporting and providing support to projects / activities Self-motivated, proactive and able to work on own initiative with minimum supervision Excellent organisational skills and juggling multiple priorities Excellent written and verbal communication skills Excellent telephone skills to deal with all levels of staff and customers. Numerate with experience of working with budgets Experience of managing multiple tasks and priorities Software literacy – Microsoft outlook, Excel, Word, PowerPoint Strong attention to detail Benefits Our benefits are designed to make health happen for our people.
