The Job
To ensure that monthly Payroll across a large school Trust in Hertfordshire is produced accurately and efficiently and that all queries and administration relating to payroll and pensions is actioned on a timely basis.
Main Duties and Responsibilities
1. Collect & collate monthly payroll information from schools in the Trust relating to one off payments such as overtime and time sheet entries noting any errors and investigating.
Accurately maintain school payroll spreadsheets and records, adding and removing employees as necessary. In line with the Trust scheme of delegation liaise with Headteachers to ensure that monthly payroll checking and approval is completed within agreed timescales to meet payroll deadlines.
2. Liaise with the external payroll provider to ensure an efficient payroll service and delivery for the Trust including production of monthly pay within agreed deadlines. Manage all payroll-related queries from employees, investigating and responding as necessary.
3. Liaise with Trust Human Resources colleagues to ensure an excellent payroll service including; monthly changes completed accurately and within agreed time frames to flow into the external payroll provider's software and supporting salary calculations for vacancies. Work with the Finance and HR team collaboratively and investigate and implement improvements to the use of payroll, finance and HR systems.
4. Support the administration of the Trust pension schemes including, liaison with pension providers and schools to resolve any queries regarding pension details of current or past employees and monitoring relevant pension provider websites to keep updated as to current and future requirements for the Trust. Manage all pension queries from employees, investigating and responding as necessary.
5. Complete the financial administration of the Trust payroll function including; preparing the monthly salary reconciliation, liaising with the Management Accountant regarding any salary queries on budgets / variance analysis, prepare auto-payroll journal for Trust schools and reconcile balance sheet accounts relating to payroll activity, on a monthly basis.
6. Support audit and year end requirements including; liaison with external payroll provider and auditors regarding completion of the Teachers Pensions' End of Year Certificate (EOYC) to required deadlines and providing information for year-end notes to the financial accounts relating to payroll costs.
7. Support the on boarding of new schools to the Trust including; the transfer of payroll and pension information relating to all staff from the new school onto the payroll, liaison with pension providers regarding the transfer of new schools into the Trust pension schemes and working with HR and external payroll consultants to ensure that the payroll software is correctly set up as new schools join - e.g. gradings, various pay elements, sickness schemes, parental occupational pay etc.
8. To ensure that all work is carried out in a efficient way, with all relevant documentation filed in a confidential manner as applicable.
Skills and knowledge
- Experience in payroll, and the use of a computerised payroll system
- Certified payroll qualification (or willing to study)
- Expertise of payroll legislation, processes, and statutory legislation.
