About the College/Department

Our Campus Life and Student Living department is responsible for essential services that significantly impact the student experience.

Campus Life is all about the various services that enhance the overall student experience, including sports, recreational facilities and community engagement.

Whereas our Student Living teams ensure the safety, comfort and compliance of the University's residential estates.

Our reception team are key to the University's success. Generally being the first interaction customers and visitors will have with us, the service they receive from you and the team will shape their experience.

About the role

This will be a part time (18.5 hours per week) position working Mon-Fri between 8am and 6pm.

Based primarily at our main Kedleston Road campus, with flexibility to support across other university sites in Derby as required, you will be the first point of contact for all visitors, providing a welcoming environment and delivering an excellent standard of customer service at all times.

In this role, you will ensure all enquiries are handled efficiently and to a high standard, support the smooth running of reception services, and promote a safe and secure environment through your conduct and vigilance. Working closely with the Security Team, you will contribute to front-of-house safety services and play a key role in maintaining the university’s professional profile.

You will provide administrative support, assist with visitor and key management systems, and take on additional responsibilities such as first-aid cover and fire coordination as and when required. Flexibility is essential, as occasional evening and weekend work may be required to meet business needs.

About You

The ideal candidate will be a professional individual with a proven background in delivering excellent customer service within a busy environment. You will be proactive, approachable, and able to take ownership of the customer experience, ensuring all interactions leave a positive and lasting impression.

Highly organised and adaptable, you will demonstrate the ability to multi-task effectively, remain calm under pressure, and handle challenging situations with professionalism and empathy. With strong interpersonal and communication skills, both written and verbal, you will be able to build positive relationships with colleagues, visitors, and stakeholders alike.

Competent in Microsoft Office applications and attentive to detail, the ideal candidate will combine technical proficiency with excellent literacy and numeracy skills. Above all, you will embody the university’s values, bringing enthusiasm, reliability, and a commitment to creating a welcoming and secure environment for all.

Principal accountabilities
  • To greet people entering University of Derby sites in a professional and friendly manner and to ensure they are directed to the correct location.
  • To deal with all reception switchboard enquiries efficiently; providing accurate and timely information to callers. Taking and relaying messages promptly and following all enquiries through to a satisfactory conclusion.
  • Encourage all users to promote a secure environment through their own conduct, by providing advice, guidance and support and liaising with university security team where concerns are identified.
  • To maintain a tidy reception area to the highest standard.
  • To be vigilant against unauthorised access to sites and inform security personnel of concerns in a timely manner.
  • To provide support and management of the university visitor management system
  • To support the Reception Team Leader in the management and release of keys.
  • To work with departments and ensure continuous smooth running of the business in maintained.
  • To provide administrative support to the Head of Security as and when required.
  • To provide first-aid cover and act as a fire coordinator as and when required.
  • To provide flexibility of work patterns to cover occasional evening and weekend work to meet business needs.
  • To be prepared to adjust working hours and arrangements were necessary.
  • To undertake any other duties as seen appropriate by the Head of Security.
  • Undertake other duties as appropriate to the grade of the post.

Essential Criteria

Qualifications

  • GCSE Maths and English at grade C or above or equivalent qualifications

Experience

  • Proven experience in a similar, busy customer service environment.
  • Proven experience of taking ownership of customer experience.
  • Proven experience of providing excellent customer service.
  • Experience of multi-tasking and handling challenging situations whilst managing customer expectations.

Skills, knowledge and abilities

  • Knowledge of customer service standards, practises and policies.
  • Fully competent in the use of Microsoft applications such as Excel, Outlook, Word and Teams.
  • Excellent organisational skills.
  • Excellent interpersonal skills.
  • Strong literacy and numeracy skills, with meticulous attention to detail.
  • A clear and thorough communication style both verbally and in written form.

  • Willingness and flexibility to travel and work between University and external sites and perform reception duties when required.
