System Hygienics is a growing national compliance company in the heart of East Sussex who carry out specialist ductwork/extract system cleaning and fire damper testing. We have a wide client base in varying industries ranging from national restaurant chains to football stadiums to hospitals to construction sites. It's an exciting time to join the team as we're continually expanding into new industries and there is increase focus of clean air and fire safety.

An exciting opportunity has arisen in our friendly Head office to join the busy Operations Team as an Administrator.

Job Overview
We are seeking a detail-oriented and proactive Operations Administrator. The ideal candidate will play a crucial role in ensuring jobs are renewed, booked into a busy diary, and field engineers working . This position requires strong organisational skills, proficiency in data entry, and the ability to manage multiple tasks efficiently.

Key Responsiblities

  • Scheduling in jobs with clients and field operatives
  • Ensuring all paperwork is in place, ie Purchase Orders received, job sheets completed etc
  • Logging jobs onto our field service management database (Workpal) and client portals
  • Ensure inhouse works diary is up to date
  • Produce relevant paperwork and drawings to send to field operatives
  • Liaise with other departments to ensure the smooth running of jobs
  • Ensure the right equipment is on site if required
  • Raise expenses for field operatives
  • Filing and general office duties including answering incoming calls from the main line
  • Any other required duties as directed by the Operation Supervisor

General

We have a small support team and it is therefore essential that all members of the team are prepared to help each other in times of need. This does mean that a flexible attitude to the duties to be carried out is essential.

Experience

  • Proven experience in an administrative role or similar position is preferred.
  • Proficiency in Microsoft Products
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Excellent organisational skills with the ability to prioritise tasks effectively.
  • Strong communication skills, both written and verbal, to interact effectively with team members and clients.
