  • Job Overview
  • The Office Administrator serves as the primary on-site operational coordinator for a small, hybrid office environment of approximately 15 personnel. This role is responsible for ensuring daily office readiness, facilitating facilities coordination, supporting shared technology readiness, managing inventory and logistics, maintaining access controls, and providing a consistent front-of-office presence.
  • The Office Administrator operates independently within clearly defined authority boundaries and coordinates approvals, purchases, and external commitments through the Office Lead. This position is designed to ensure continuity, reliability, and operational control in a hybrid work setting where leadership may not be present on site daily.
  • The Office Administrator is also responsible for maintaining working knowledge of applicable corporate policies and procedures, in addition to building requirements, and for ensuring that daily office activities are conducted in compliance with those policies.

  • Responsibilities

Essential Duties & Job Functions

  • Perform general clerical, administrative, and office support functions.
  • Coordinate daily office activities to ensure smooth operations and efficiency.
  • Serve as the primary on-site point of contact during business hours.
  • Answer, screen, and route incoming calls; greet and direct visitors.
  • Maintain employee directories, office contact lists, and administrative records.
  • Implement and maintain physical and electronic filing and recordkeeping systems.
  • Prepare routine reports, logs, and administrative documentation.
  • Receive, distribute, and prepare incoming and outgoing mail and packages; retrieve mail from the building mailroom weekly.
  • Coordinate with facilities management regarding parking, utilities, maintenance, housekeeping, and shared building resources.
  • Maintain shared spaces, supplies, and equipment; monitor inventory and submit purchase requests in accordance with procedures.
  • Manage office “SWAG” and branded morale materials.
  • Maintain office security, control access, and ensure visitor registration and badging procedures are followed.
  • Protect sensitive information and maintain confidentiality at all times.
  • Support readiness of shared office systems, including conference room technology and visitor management devices.
  • Coordinate with off-site IT personnel to execute directed tasks and report system issues.
  • Support onboarding, access coordination, and administrative documentation for employees.
  • Coordinate with the Program Manager and Site Manager to assign office resources (e.g., equipment, accounts, access).
  • Ensure compliance with corporate policies, procedures, security requirements, and required training.
  • Perform other related duties as assigned.

  • Job Requirements

Mandatory

  • High school diploma or equivalent
  • Demonstrate experience in office administration, operations support, facilities coordination, or a similar professional role
  • Strong working knowledge of the Microsoft Office Suite, including Outlook, Word, and Excel
  • Exercise sound judgment, discretion, and consistently apply corporate policies and procedures
  • Strong organizational skills and attention to detail
  • Effective written and verbal communication skills
  • Reliable transportation and ability to report on site five days per week
  • Availability to be on-call for office-related emergencies, as needed
  • Must be eligible to obtain and maintain a Public Trust clearance or equivalent background investigation
  • Must be able to successfully pass a pre-employment background check and pre-hire drug screening
  • Ability to lawfully work in the United States without employer sponsorship
  • U.S. Citizenship

Preferred

  • Some post-high school education, coursework, certifications, or other demonstrated commitment to continued learning or professional development
  • Experience supporting a hybrid or small office environment along with coordinating with remote IT, facilities, or security teams

Working Conditions

  • Working in an office environment
  • Sedentary in nature and performed in an office setting
  • This position is full-time and requires an on-site presence Monday through Friday. The standard work schedule consists of eight (8) hours per day, with a thirty (30) minute unpaid meal break. Daily start times are expected to be no later than 8:00 a.m., with specific start and end times established in coordination with the Site Manager based on operational needs

Physical Requirements

  • Physical requirements are typical of an office environment
  • Occasional lifting, handling, or moving of objects without assistance weighing up to 50 pounds may be required.
  • Ability to bend, stoop, reach, stand, move from one area of the building to another on a regular basis, sit and use a computer for a long period of time
