Nursery School Secretary Job in North London

Pay: £30,000 to £32,000 per annum

Hours: Monday to Thursday 8-5pm and Friday 8-2pm

Working Pattern: Full Time during term time 34 weeks a year plus occasional weeks to be worked in school holidays

Job Summary
The School Secretary provides administrative support, primarily to management but also to the teaching team. The main duties of the role will vary from term to term to reflect the busy and changing nature of the school. The overall remit, however, will be to provide administrative support to ensure the smooth day to day running of the school.

Responsibilities

  • The allocation of duties will be made in discussion with the Principal and Deputy Principal, with regard to the postholders’ skills, experience and interests.
  • Answer and redirect phone calls and emails
  • Book visits and meetings and schedule events
  • Order office stationery and school supplies
  • Order groceries for school on a weekly basis
  • Manage and update school class lists
  • Manage and update allergy lists for staff and children
  • Manage and update contact lists for staff and children
  • Manage and update lists for extra classes (Ballet, French, Yoga, Computers and Choir)
  • Manage and update invoicing parents for school fees.
  • Manage and update the Nursery Education Grant.
  • Liaise with extra class teachers.
  • Submit expense reports to accountant on a monthly basis
  • Manage petty cash, cheque payments and card payments
  • Handle queries from managers, teaching staff and parents
  • Update school policies and procedures and ensure compliance with them
  • Book school training
  • Maintain a filing system for data on customers and external partners
  • Prepare regular reports and presentations
  • Organize, store and print company documents as needed
  • Carrying out any other reasonable requests in line with the broad responsibilities of the role.
  • Manage invoices and receipts through Xero.
  • Front of house contact with parents
  • Presentable and adhere to dress code
  • Be able to fill in positions of Principal if Principal is going on school duties outside of the school.
  • Support Principal through other duties if requested

Multi-disciplinary team – Play a key role in supporting a multi-disciplinary team approach to ensure best outcomes for children and families.

Quality – Through “hands-on” practice, lead the delivery of high-quality provision for children and families, by mentoring, shadowing and role modelling (to/with) colleagues.

Training and professional development – Keep up to date with current developments and research and lead on training and dissemination of good practice to colleagues.

Reflective practice – Develop a culture of reflective practice through self-assessment leading to quality improvement.

Lead on development and evaluation of practice – Develop and implement systems for effective planning, observation and assessment, record keeping and monitoring within the setting that support the development of individual children.

Partnership with parents – Communicate and work in partnership with families and parents/carers, at home and in the setting, to nurture children, to help them develop and to improve outcomes for them.

Transitions – To ensure effective systems and practice are developed to support transitions for children and families.

Play-based learning environment – To ensure a high quality, play-based learning environment that provides challenging child-led and adult initiated opportunities, both indoor and outdoor, that are developmentally appropriate.

National and local issues – To be aware of and support the implementation of national and local strategies, policies and regulations to deliver best outcomes for children and families. Have strong EYFS knowledge and be able to implement in all activities

Have strong verbal and writing communication skills

Desired

- Must understand school legislations including Ofsted, safeguarding

- Must have at least 2 years expereince working in simarlar or same role in a UK based school or nursery/children centre.
