Overview

We are a busy, friendly GP surgery based in the town of Burry Port.We have approximately 7500 patients and are committed to providing a high quality of care and services to our patients.

We currently have a vacancy, for a friendly well-organised person, with excellent communication skills and a good telephone manner to join our team for 37 hours per week. Monday - Friday between the hours of 8.30am - 6.30pm (hours to be confirmed). Flexibility required to cover periods of annual leave and sickness absence. Previous experience of working in a GP practice would be highly advantageous. However, training will be available to the successful candidate.

Welsh speaking desirable but not essential.

Job Description

This is a diverse role within a busy and interesting GP practice. The post holder will be responsible for greeting patients politely and ensuring that the appointment system is run efficiently, monitor the flow of patients to and from the consulting rooms, managing queues through telephone and face to face interactions. To facilitate effective communication between patients, members of the primary healthcare team, secondary care and other associated healthcare agencies.

A good personal and telephone manner is essential.

To offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

To undertake a variety of administrative duties to assist in the smooth running of the practice.

Job Responsibilities

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
  • Maintain working knowledge of the appointment system i.e times of all clinics, duration of appointments, knowledge of computer system, doctors' rotas, procedures for booking routine and urgent appointments.
  • Deal with any telephone enquiries in a respectful and friendly manner, ensuring correct details are recorded and forwarded to the relevant personnel.
  • Deal with all general enquiries, explain procedures.

  • Action Electronic prescriptions
  • Registering new and temporary patients in accordance with NHS Wales.
  • Advise patient, when appropriate, of relevant charges for private (non-general medical services) accept payment and issue receipts.
  • Give test results where appropriate.
  • Premises: May require opening of premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients. When last to leave, at the end of the day, ensure that the building is totally secured, internal lights are off, windows closed and the alarm is activated.
  • Electronically and postally receive patient notes and correspondence and re-file as required.
  • Process, file and allocate econsult enquiries as appropriate.
  • Undertake any other additional duties appropriate to the post as requested by the Partners or Management.

The post holder will assist in promoting and maintaining their own and others' health & safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures.

  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.

  • Keeping own work areas and general/patient areas clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder's role.

The post holder will participate in training implemented by the practice as part of this employment. Training will be monitored by an assigned mentor and will only proceed at a rate that the post holder will be happy with. A training record will be provided, and individual tasks will only be signed off by both the post holder and their mentor only when they are satisfied that they are competent to undertake the task alone. Periodically compulsory in-house training will be held at the practice i.e. CPR training.

PERSON SPECIFICATION ESSENTIAL DESIRABLE ATTRIBUTES

Qualifications

  • NVQ Level 2 or relevant application OR equivalent form knowledge experience

Experience

  • Experience working in an application administration role.
  • Working in teams/multidisciplinary environments.
  • Comprehensive understanding of use of software packages, including Word & Excel.
  • Aptitude and ability to communicate effectively.
  • Abilities of settings with patients of varying Welsh levels of seniority.
  • Able to present accurate information and refer questions to others where appropriate.
  • Able to deal with sensitive issues with tact and diplomacy.
  • Good IT skills.
  • Ability to develop effective interpersonal relationships with colleagues in the health care setting.
  • Have good verbal and written communication skills.
  • Ability to plan and organise own workload.
