The role:

We are seeking a Knowledge and Information Assistant to fully catalogue, label and organise a collection of highly sensitive records for the Children and Families directorate and assist in the delivery of the Modern Records Unit’s records management service.

The role is based in a warehouse and includes the physical handling and movement of boxes weighing up to 15kg, as well as moving cages weighing up to 180kg. Manual handling training will be given.

In order to carry out this role you will need to have previous experience of administrative and customer service roles with strong skills in office tasks, record management, and Microsoft Office applications, alongside a commitment to data security and excellent customer service. You will need to be physically capable of handling records and materials, with a proactive approach to learning and effective communication.



Key responsibilities:

Assist in the cataloguing, labelling, organisation and delivery of records. Providing a welcoming, informed, and professional customer service
Respond to a range of routine written, telephone and face-to-face records management enquiries either directly or in more complex cases by referral to an appropriate colleague
Operate a PC to amend, manipulate and maintain spreadsheets, databases and other applications to support the overall objectives of the service and its records are kept up to date
Undertake general office duties such as filing, photocopying, routine scanning; maintaining office diary; monitoring of stationery; mail handling as required
Physical handling of records to, from and within the storage facilities and the office van (max weight of 15KG per item)
Ensure that the facilities and records are maintained in an orderly fashion. Handling and lifting of records to, from and within the storage facilities



What the client is looking for:

Demonstrated administrative and customer service skills equivalent to NVQ Level 2
Experienced in core office tasks: taking messages, photocopying, printing from microfiche, and maintaining filing systems
Proficient in Microsoft Office (SharePoint Online, Outlook, Word, Excel, Internet Explorer) with a proactive approach to learning new tools and technologies
Skilled in cataloguing records and managing both electronic and paper-based record-keeping systems
Strong attention to detail; accurate in filing, retrieving, and handling information
Understands the importance of handling confidential and sensitive data securely
Committed to excellent customer service with a focus on building and maintaining positive relationships
Excellent communication skills
Physically capable of moving records and storage boxes (up to 15kg), both within facilities and via office transport.
Manual handling experience preferred, however, training will be given
