We are a multi-location restaurant group operating over 60 restaurants in several cities. Our staff includes restaurant managers, kitchen leads, regional supervisors, training teams, and support office personnel. We maintain a large amount of operational documentation, including: - Standard Operating Procedures (SOPs) - Kitchen and food preparation manuals - HR onboarding and training materials - Compliance and safety regulations - Vendor ordering guides - POS system documentation - Recipe and ingredient sourcing references Currently, this information is stored across various platforms (Google Drive, internal PDFs, SharePoint, etc.), and employees often have difficulty finding the right information quickly. Project Goal We want to implement an internal AI chatbot that allows our employees to ask questions in natural language and receive accurate, up-to-date answers from our documented knowledge base. This tool should build on existing / proven solutions, not be custom-coded from scratch. Key Requirements We want to leverage an existing SaaS platform or ready-made RAG (Retrieval-Augmented Generation) solution. We are not looking to reinvent the wheel. The ideal solution should include: - Easy document ingestion (PDF, Word, spreadsheets, internal wiki). - Natural language question answering, not just keyword search. - Hosted or hybrid (private cloud) deployment options. - User access controls, reflecting different roles (store staff vs regional managers). - Simple, user-friendly chat interface (web UI is sufficient; Slack/Teams integration is a plus). - Ability to keep documents updated with minimal technical involvement. - Option to add restaurant-specific terminology and context. Example Questions the Chatbot Should Answer - “How do I submit a weekly inventory report?” - “What are the steps for safe fryer cleaning?” - “Show the standard recipe for grilled chicken bowl.” - “How do I troubleshoot printer errors on our POS?” - “What are the onboarding steps for a new line cook?” Deliverables - Recommend 2–4 suitable SaaS / RAG platforms and compare them. - Lead setup and configuration of the chosen platform. - Assist with initial document ingestion and knowledge structuring. - Provide a basic internal training session for managers on how to use and maintain the tool. Preferred Experience - Experience deploying knowledge-base chatbots using existing platforms (e.g., RAG SaaS, LLM knowledge assistants, enterprise chatbot tools). - Familiarity with restaurant operations, hospitality workflows, or franchise systems is a plus. - Ability to explain trade-offs between platforms clearly (e.g., pricing, security, integration effort).
