HubSpot CRM Setup + Instantly + RingCentral Integration (3,000 Leads | Fast Turnaround) We are looking for an experienced HubSpot CRM specialist to fully set up our system so our team can begin structured daily outreach immediately. This is a straightforward “plug-and-play” build — the tools are already active, we simply need everything connected, cleaned, automated, and ready to use. ⸻ Scope of Work 1. CRM Setup & Lead Import • Clean and import 3,000 leads into HubSpot • Remove duplicates • Organise contacts by state/region • Create required custom fields (e.g., sample mailed, seminar firm, last contacted, call status) 2. Daily Calling Playbook Setup • Build a calling workflow our team can use every day • Create call queues • Add call scripts, voicemail scripts, and notes templates • Set up tasks that automatically generate for daily calling 3. System Integrations • Connect RingCentral → HubSpot (required features): • Auto-log calls • Track call outcomes • Ensure calls automatically clear from “Today’s Queue” • Connect Instantly → HubSpot (required features): • Sync activity and statuses • Ensure replies remove contacts from Instantly sequences • Map tags and fields correctly 4. Outreach Setup • Upload our existing email templates • Build simple call + email outreach steps • Set up basic triggers for: • Samples mailed • Replies • Meetings booked • Follow-ups 5.
