We are looking for a highly experienced Email Deliverability & Warm-Up Specialist to help me re-engage a large legacy email list (approximately 5 million contacts, primarily families/consumers). The list is 2+ years cold and hasn’t been emailed since a previous business became inactive. For my new product, I want to methodically, safely, and compliantly warm up and reactivate this list - without damaging sender reputation, triggering spam filters, or risking blacklisting. This must be handled with extreme care, proper segmentation, gradual warm-up, and the right infrastructure. Your mission: Build and execute a safe, compliant, highly structured reactivation plan that warms up the domains, IPs, segments, and sends - while maximising deliverability and minimising risk. What I Need Help With: I’m looking for someone who has deep expertise in large-scale deliverability and can handle all technical and strategic elements, including: 1. Technical Setup & Infrastructure - Recommend whether to use dedicated IPs, warmed pools, or rented warmed infrastructure - Configure and audit DNS records (SPF, DKIM, DMARC, BIMI) - Domain + subdomain strategy for cold outreach - Health checks on existing domains & deliverability diagnostics 2. List Strategy & Segmentation - Analyse and clean the dataset (remove risks: spam traps, bots, hard bounces, complainers) - Build a segmentation framework (engagement-based, sampling strategy, risk tiers) - Determine safe send volumes and ramp-up schedule 3. Warm-Up & Deliverability Plan - Multi-week deliverability roadmap - Seed testing, inbox placement testing & monitoring - Domain/IP warm-up - Progressive send plan (start with extremely small high-confidence segments) 4. Content & Sending Strategy - Advise on compliant messaging for first contact - Create templates designed to minimise spam filters - Set up sending sequences, throttling, and reputation-sensitive dispatch rules 5. Compliance & Best Practices - Ensure the entire process is GDPR/PECR/CAN-SPAM compliant - Make sure the outreach method is ethical, transparent, and allowed under soft opt-in rules - Clear unsubscribe and data-removal process 6. Ongoing Monitoring & Optimisation - Weekly deliverability reports - Inbox placement tracking - Domain reputation scores - Guidance on when - and when not - to scale volume What Successful Delivery Looks Like: - Strong domain/IP reputation maintained throughout - High inbox placement for early sends - Zero blacklisting events - Compliant and ethical reactivation - A stable warm list we can later email with confidence for brand communications Who I’m Looking For: Must-have experience: - Handling 1M+ cold email lists (please provide examples) - Deep knowledge of deliverability tools (Postmark, SendGrid, Mailgun, AWS SES, Warmup Inbox, GlockApps, MailFlow, MXToolbox, etc.) - Understanding of Gmail/Yahoo 2024+ requirements - Experience with compliance frameworks (GDPR, PECR, CAN-SPAM) Bonus experience: -Working with consumer/family-oriented audiences - Scaling from cold list → healthy engaged list safely - Knowledge of lifecycle email funnels & reactivation journeys Important Notes: - This is NOT a “blast the whole list” job. This is a long-term, high-precision deliverability project. - I need someone extremely careful, methodical, and reputable. - The project will only proceed with a structured methodology that prioritises safety first.
