The roleThe Barbican is looking for a fun, highly motivated and proactive EA to support our Director for Audiences to deliver on their vision to create the ultimate arts and cultural experience. The support this role provides is critical to enable the Director to go above and beyond in:
- Leading and inspiring a large, passionate, audience focused team
- Achieving ambitious goals to transform the end-to-end audience experience
- Building long lasting relationships with partners that enable our successThis role will not just manage the Director’s complex diary and busy inbox, but also play a leading role in enabling the Director’s communications, team engagement activities, strategic planning and research, networking opportunities, community engagement, and transformation projects, as well as managing their diary and email inbox.
This role is the first point of contact for the Director, delivering joyful, proactive and engagingcustomer service with people inside and outside the Barbican walls. The role will be a superstar at living Barbican's values and most importantly be a strong ally in equity, inclusion and wellbeing.
This role will join a dynamic and fun peer group of EA’s to facilitate strong, collaborative working relationships with others across the Barbican and the City of London Corporation.

Please find below the key skills, experience and core behaviours required to undertake this post.
- A GCSE Grade C or above in English and Maths, or equivalent

At least three years EA experience, including enabling a leader to be successful in a complex multi-stakeholder environment.
You must be able to demonstrate:
-
Experience in delivering the tasks of an EA role, including complex diary management at a senior/executive level. This includes the ability to proactively forward-plan the Director of Audiences diary, by reviewing upcoming appointments in good time, resolving potential conflicts and anticipating meeting needs (collating papers etc).

Organising complex travel arrangements and itineraries, sand drafting correspondence.

Experience of coordinating people-related processes within the division e.g. probations, appraisals, recruitment, annual leave management, maintenance of sickness records.

Exceptional organisational skills with proven ability to develop, create and maintain office systems.

Experience of assisting with event arrangements e.g. room bookings, refreshments, contact lists/guest lists.

Experience of dealing with internal and external stakeholders of all levels including Board Members and diverse internal teams, always ensuring a high level of customer service.

Proven ability to build and manage relationships at all levels with excellent verbal communication skills and telephone manner, and strong written communication with the ability to write for a variety of purposes and to differing stakeholders of differing seniority levels.

Good prioritising and time management skills with a proactive approach to work.
- Excellent IT skills including MS Office (Outlook, Word, Excel and PowerPoint) and experience of using databases and computer-based systems.
