What you’ll be doing Document Controller will support the Lead Document Controller with the day-to-day management of the document management system supporting regular reviews of the existing DMS and help implement any required changes to ensure that it remains “fit for purpose”. Act as the team contact for the Document Management System (DMS), including process oversight, training, communication, and system development. Resolve DMS-related issues as they arise daily. Manage and coordinate access and permission rights for internal and external users, ensuring access control is monitored and updated throughout the project lifecycle in line with business goals. Manage digital document workflows using the DMS. Organize and maintain project documents, ensuring compliance with the Integrated Management System (IMS). Facilitate corrections to documents regarding template usage, revision control, structure, and approval. Support ongoing review and development of DMS processes and procedures. Conduct regular inspections to ensure the integrity of project documents, including templates, final files, and tender documentation. Attend project Kick-Off Meetings and Scheme Team Meetings as required. Administer records, drawings, and documents in accordance with SPT IMS and other specifications. Establish and maintain project drawing registers and individual project document transmittals. Collate, review, and coordinate final file documentation, ensuring integrity upon project completion notification by the Project Manager. Coordinate final project archiving. Prepare drawing comparators on PC projects and collaborate with the engineering coordinator to resolve any issues. Upload Final File As-Built drawings to Vault. What you’ll bring HND or equivalent in a business-related discipline and/or previous Document Control experience. Working knowledge of Document Management Systems, with emphasis on document control procedures. Experience with ACC/Autodesk, ProjectWise, and SharePoint is highly advantageous. Significant experience in a Document Control role for major construction or utility construction projects is desirable. High degree of IT literacy and strong administration skills. Ability to multitask, prioritize workload effectively, and work efficiently to meet deadlines. Ability to interpret and present information in a logical and orderly manner. Experience with ISO 9001:2015 Quality Management Systems and ISO 19650 (BIM) standards is advantageous. Good interpersonal and communication skills, with the ability to form effective working relationships across departments and external partners. Experience in final file/project handover processes is advantageous. Ability to maintain project workbooks and databases. Ability to develop and maintain relationships with project teams and contractors. Minimum Criteria HND level education. Previous Document Control experience. Excellent literacy and communication skills. Proven ability to manage changing workloads and meet agreed timescales. Proficiency in Microsoft Word, Excel, and a recognized database software package.
