Job Description: CRM & Automation Specialist About the Role We are looking for a highly skilled CRM & Automation Specialist to manage, optimise, and scale the tech systems that power our business operations. This person will take ownership of our CRM, automation tools, integrations, and reporting — ensuring everything runs smoothly, reliably, and with maximum efficiency. We need someone who can jump straight in, learn our systems quickly without handholding, and make improvements along the way. Key Responsibilities Manage and optimise our CRM system, including setup, workflows, pipelines, and automations Build, maintain, and troubleshoot automations using Zapier (and similar tools) to connect platforms Configure, monitor, and improve sales pipelines and stages, ensuring accurate tracking and reporting of leads, opportunities, and conversions Implement and manage email campaigns and automations, including segmentations, triggers, and sequences Manage SMS automations and ensure integration with CRM and sales workflows Integrate external tools such as Calendly, OnceHub, Slack, and other business applications with the CRM Build and pull performance reports and dashboards to track KPIs across sales, marketing, and operations Troubleshoot technical issues quickly, maintaining minimal downtime and smooth daily operations Identify opportunities for improvement in systems and processes, and implement them proactively Provide recommendations to improve efficiency and ensure all systems are fully aligned with business goals Skills & Experience Strong experience with CRM platforms such as Close.com, ActiveCampaign, HubSpot, Go High Level, or similar Expertise in automation tools, especially Zapier, plus knowledge of other integration platforms Solid understanding of sales pipelines, lifecycle management, and marketing automation Experience with email marketing platforms, campaign automations, and SMS platforms Strong reporting and data analysis skills Ability to connect multiple software platforms and ensure seamless communication between them Proactive problem solver with attention to detail and strong troubleshooting skills Experience with Slack integrations and workflow notifications is a plus Personal Attributes Highly organised and detail-oriented Strong communicator who can explain technical solutions clearly Comfortable working independently and taking ownership of systems Proactive, resourceful, and able to learn quickly without step-by-step guidance Growth-minded and committed to continuous improvement
