Job Summary:
Ethos Facilities are currently seeking a Contract Support professional to join our team in London. The successful candidate will play a key role in providing administrative support for our maintenance contracts.
Title: Contract Support
Purpose: Providing administrative support
Responsible To: Line Manager
Location: Office based in Victoria,London
Subordinates: None
Main responsibilities: Co-ordinating engineers’ diaries and assisting the business with administration duties including, but not limited to:
- Efficiently planning work
- Responsible for ensuring PPM compliance work is carried out within legal timeframes
- Arranging access and liaising with customers, via the telephone and email.
- Responsible for co-ordinating works to be carried out in high end occupied properties.
- Reading and understanding certificates and reports
- Checking and accurately uploading documents
- Raising work orders
- Producing reports
- Liaising with Ethos engineers and Service Partners
- Interacting with customers either on the phone or in person
- Making phone calls and answering phones
- Building and maintaining good relationships with clients, contractors and engineers
- Monitoring and responding to emails
- Participating in office meetings
- Providing feedback on office / business efficiency and suggesting possible improvements
- Being ready for any other administrative tasks that are required
Experience:
- Proven experience in administrative support or contract support roles
- Experience using a CAFM system
- Strong organisational skills with meticulous attention to detail
- Excellent communication skills, both written and verbal
- Proficiency in Microsoft Office suite, particularly Excel and Word
- Ability to work effectively in a fast-paced environment and manage multiple tasks
