- Casual Events Assistants
- Durham University’s Institute for Medical Humanities (IMH) is seeking three energetic and enthusiastic casual Events Assistants.
- The casual Events Assistants will play a key role in supporting the delivery of a dynamic events programme linked to our Institute and Discovery Research Platform for Medical Humanities. Working closely within the Operations Team during busy periods, they will provide logistical and communications support for a range of internal and external events linked to our Labs, Sites and IMH Research Themes.
- The post holder will report to the Operations Manager Carolyn Blake. The role is for approximately 14 hours per month during periods of intense activity within the Institute, with the exact working pattern to be directed by the Operations Manager according to need. (For example, the Events Coordinator may work more in one month when there are a number of events to deliver and work less in another month.)
- The post-holders may be required to cover events outside regular office hours (e.g. evenings) and events which take place both within the University and at off-campus locations.
- Key responsibilities
Under instruction and following appropriate training
- Work with team members and others across the organisation to plan, publicise and deliver a range of events and activities, keeping to agreed budgets
- Liaise with internal colleagues and external stakeholders to coordinate event logistics such as room bookings, venue hire, invitations, catering, travel and accommodation for invited speakers etc
- Assist with event set-up and clearing up after events/conferences
- Assist at registration desks, creating a welcoming and friendly atmosphere for event attendees
- Develop and maintain communication tools to publicise events and other IMH activities. This may include circulating emails to IMH mailing lists and uploading content to internal and external webpages associated to with the Institute.
- Respond to email queries, escalating where appropriate
- Record and update events data accurately
- Prepare and distribute documentation packs (e.g. conference packs), event signage and other resources
- Plan and prioritise own work, adhering to agreed deliverables and timeframes
- General administrative duties appropriate to the role and its grading

- Essential
- Demonstrated ability to provide effective administrative and logistical support
- Strong organisational and time management skills
- Demonstrated ability to communicate clearly and professionally, both verbally and in writing, to a range of internal and external stakeholders.
- Proficiency in Microsoft Office and willingness to learn new software and digital communication tools as and when required.
- Ability to work effectively as part of a team and under supervision.
