  • Key Responsibilities
  • Travel System & Technical Platform Management
  • Manage Egencia (corporate travel system): user support, troubleshooting, vendor liaison.
  • Oversee, manage and maintain seven travel systems platforms, ensuring consistent system support, performance management, and technical maintenance.
  • Ensure data accuracy, system efficiency, and user adoption across all platforms.
  • Upgrading travel systems features; training staff on new tools and functionalities.
  • Liaise with vendors and internal stakeholders to resolve issues and implement upgrades.
  • Monitor platform usage and analytics to inform policy and process improvements.

Example Projects

  • Implementing a new travel policy based on usage analytics across multiple platforms.
  • Upgrading travel systems features; training staff on new tools and functionalities.
  • Facilities & Office Administration (5-10% of role)
  • Oversee maintenance, safety, and compliance at Belfast HQ.
  • Manage vendor contracts (cleaning, security, utilities).
  • Supervise administrative staff and ensure smooth office operations.
  • Manage office budgets, supplies, and procurement.
  • Introduce systems to improve operational efficiency.
  • Project Management
  • Lead workplace improvement initiatives (e.g., office moves, travel system upgrades).
  • Deliver strategic projects for the CEO Office
  • Lead the identification and resolution of operational issues through discreet, high-impact projects. Ensure swift and transparent execution, resulting in tangible improvements.
  • Develop and implement updated policies and procedures and coordinate training to support adoption and compliance.

  • Providing key external parties with PR, Road show, results etc information.
  • Use data insights to assess office usage and inform space/resource planning.
  • Managing partnerships externally: bring in investments from government bodies
  • Health & Safety
  • Ensure compliance with health & safety regulations.
  • Conduct risk assessments and maintain safety records.
  • Liaise with internal stakeholders and external regulators.
  • Align health & safety processes across departments.

  • Rolling out a new fire safety protocol and training.
  • Conducting a full health & safety audit of the Belfast HQ.
  • Stakeholder Engagement
  • Collaborate with internal and external stakeholders to deliver strategic initiatives.
  • Provide clear reporting and updates to senior leadership.

  • Role Criteria
  • Education
  • Bachelor’s degree in a Business Field or a related field (essential)
  • Additional qualifications or certifications in Project Management (e.g., PRINCE2, PMP), Health & Safety (e.g., NEBOSH), or Workplace Technology (desirable).
  • Skills
  • Systems & Platform Management: Proficiency in managing corporate travel systems (e.g., Egencia) and workplace technology platforms. Ability to troubleshoot, liaise with vendors, and drive user adoption.
  • Project Management: Strong planning and execution skills for strategic and operational projects. Ability to manage timelines, budgets, and cross-functional teams.
  • Facilities & Office Operations: Knowledge of office administration, vendor management, and operational efficiency tools. Familiarity with compliance and safety standards.
  • Health & Safety Compliance: Understanding of regulatory requirements, risk assessments, and safety audits. Ability to align processes across departments.
  • Stakeholder Engagement: Excellent communication and relationship-building skills with internal teams, senior leadership, and external partners.
  • Data & Reporting: Ability to use data insights to inform decisions, prepare dashboards, and support strategic planning.
  • Executive Support: High-level administrative capabilities including scheduling, documentation, and coordination with the CEO Office.
  • Experience
  • Minimum 3 years of experience in operations, workplace management, or executive support roles.
  • Demonstrated experience managing travel systems and technical platforms.
  • Proven track record in delivering cross-functional projects and process improvements.
  • Experience in facilities oversight
  • Familiarity with health & safety regulations and audit processes.
  • Experience working closely with senior leadership and external stakeholders.
  • Comfortable working in fast-paced, high-impact environments with discretion and professionalism.
