I’m building an MVP for a lightweight post-production service for talking-head YouTube/podcast videos. The client-facing intake form is already set up in Tally. Now I need an experienced freelancer to handle all the backend automation and dashboards. The goal: When a client fills out the Tally form, all their project details automatically flow into Coda (backend + client-facing views), with calculations handled via Google Sheets, and workflows managed through Zapier. Scope of Work Zapier Automations • Build Zaps that send Tally form submissions into both Google Sheets (for pricing/timing calculations) and Coda. • Capture and map all fields: packs chosen, tweaks, extras, calculated costs, turnaround time. • Automate project status updates (e.g., when an editor marks a task complete in Coda, client view updates automatically). • Create notifications/triggers for new submissions and progress updates. Google Sheets (Timing/Price Model) • Link Zapier to Google Sheets for real-time pricing and turnaround calculations. • Ensure the correct values flow back into Coda for both my internal view and client-facing view. • Keep formulas clean and editable so I can update later. Coda Backend – Internal (My View) • Master dashboard with all client projects, sortable by status, deadline, and editor. • Task/timeline management with clear project stages (intake → editing → QA → delivery). • Editor workload tracking (projects per editor, logged time per video). • Financial overview (cost per project, revenue, profit margins). Coda Backend – Client View (What Clients See) • Simple, white-labeled dashboard where clients can log in securely. • Clients see only their project details: packs chosen, tweaks/extras, current status, expected delivery time. • Clean, professional, minimal design. Integration & QA • End-to-end testing of Tally → Zapier → Google Sheets → Coda. • Documentation or Loom walkthroughs so I can manage workflows after handover. • Handle edge cases (duplicate submissions, partial entries). ⸻ Deliverables • Fully working backend MVP (Zapier + Google Sheets + Coda + Tally integrated). • Internal dashboard in Coda for me to manage projects/editors. • Client-facing dashboard in Coda for status updates. • Documentation/walkthroughs of all workflows. Success Criteria • Clients fill out Tally form → Project instantly appears in Coda with correct pricing & timing from Google Sheets. • I can see/manage all projects and editors from my dashboard. • Clients can see their project status simply and clearly. • Minimal manual work required once automations are live.
