Job Title: Automation & Systems Builder (Pipedrive + Notion + Zapier) About Us: We’re PANO Digital, a LinkedIn content and authority agency for construction founders. We already have a mapped-out client journey — from call booking to onboarding to content delivery — and now need a systems builder to automate everything across Pipedrive, Notion, Google Drive, Zapier, and Gmail. What You’ll Build: 1️⃣ Sales & Onboarding Automations (Pipedrive + Zapier) Set up clean stages and workflows in Pipedrive Trigger Gmail emails (call confirmations, reminders, no-shows, follow-ups) Auto-send post-call email with PDF Stripe → “Deal Won” → trigger onboarding automation When “Deal Won”: Create client folder in Google Drive Create client dashboard in Notion Send onboarding email via Gmail 2️⃣ Client Delivery Automations (Notion + Zapier + Gmail) Build simple Notion dashboard template per client (Content Plan, Figma, Reports) Trigger emails based on Notion status updates: “Content Call Done” → imagery & next steps email “Plan Complete” → content plan + 48h reminder “30 Days Active” → check-in email “Monthly Report Added” → report email “Renewal Due” → renewal/review email Ensure Drive + Figma links auto-fill into each client dashboard 3️⃣ Internal & Maintenance Automations Weekly Slack or Gmail summary of client activity (new clients, renewals, missed payments) Simple reporting dashboard (Notion or Google Sheets) Record short Loom walkthrough and SOP of all automations built Ideal Skills: ✅ Advanced Zapier (multi-app workflows, filters, delays) ✅ Strong Pipedrive CRM automation experience ✅ Skilled in Notion databases + templates ✅ Familiar with Google Drive, Gmail, and Stripe integrations ⚡ Clear systems thinker who can document everything cleanly Deliverables: Fully functional automation system connecting Pipedrive → Zapier → Notion → Gmail → Drive 1x client dashboard template in Notion 1x tested CRM workflow 1x Loom walkthrough + SOP document Timeline: ⏱️ 1–2 weeks (full build + testing)
