About the role
Onward Homes are now recruiting an Environmental Services Business Administration Apprentice to provide administrative support to the Environmental Services team in all regions to assist with the effective and consistent delivery of services. Acting as the first point of contact to customers, colleagues, contractors, suppliers and other stakeholders alongside the Environmental Services Assistants.
Responsibilities:
General Administrative:
- Perform general administrative duties to support the work of the wider Environmental Services Team and act as a first point of contact for enquiries alongside the Environmental Services Assistants.
With guidance and support from team members;
- Undertake general administrative duties such as responding to emails, answering phone calls, booking meetings, proofreading documents, generating and sending reports, ordering consumables and workwear, and support with customer and staff surveys
- Provide meeting support ensuring minutes are recorded and distributed in a timely manner.
- Assist in the management of contractors, suppliers and processing invoices and purchase orders.
- Deal with general enquiries through our Customer Relationship Management (CRM) system on a daily basis and allocate enquiries to relevant team members.
- Use a CRM system to raise jobs to in-house teams and external contractors.
- Liaise with teams across the organisation and communicate with external contractors and suppliers.
Customer Service:
- Work with the internal service areas to deliver a collaborative level of customer service.
- Be a point of contact for customer enquiries and referrals from internal teams.
- Contact customers as required in such circumstances as to book in tree works or arrange access for a service to be completed with guidance from the Environmental Services Assistants.
Data Management:
- Support the review of performance information, providing input into service improvements.
- Use of digital systems to assist in the support of services.
- Carry out data input, rectification and audit checks.
- Create site lists and maps for services such as winter gritting, and invasive vegetation species inspections and treatment.
Financial
- Support in monitoring contractor performance and customer satisfaction.
- Liaise with appropriate persons/teams and contractors in relation to invoice processing.
- Support in the invoice processing through the receipting of purchase orders in a timely manner.
Skills experience and knowledge
Essential:
- Experience of working in a customer facing role.
- Experience of working in a team.
- Ability to communicate effectively with customers, colleagues and external organisations.
- Knowledge of health and safety responsibilities.
- Professional and flexible approach.
- Ability to prioritise workload, manage time and meet deadlines / hit target.
Desirable:
- Knowledge of the Housing sector.
Qualifications:
Knowledge and awareness of related housing regulations/ law.
