Job Summary
Reporting to the Department Managers, the Import Team holds responsibility for the day-to-day processing of documents, costing and billing activities for specific accounts. The role involves compliance to both Internal & client specific SOP's designed to ensure that agreed service standards and financial compliance are maintained to the highest level on a consistent basis.

Responsibilities

Financial/Commercial

  • Working with the Department Manager to ensure accurate & on-time costs, on time payments to Cash Suppliers
  • Query Resolution - to resolve any queries from both customers & suppliers in a timely & efficient manner
  • Query Resolution - to resolve any queries from internal departments in a timely & efficient manner
  • Monitoring operational performance on an ongoing basis & taking corrective actions to improve performance where possible

Operational

  • Use of Internal Freight Management Systems, Microsoft Packages (Word/Excel/Outlook) & Telephone

a. Validation & Maintenance of FMS data

b. On time invoicing

  • Accurately maintain shipment data/status into Internal Freight Management Systems
  • Handling of documents, and upload to appropriate system
  • Maintain documentation of internal processes & SOP’s
  • Internal & External communication to notify of any changes to key data/status
  • Review of Exception reports to ensure common data issues/errors are identified & resolved
  • Monitor & maintain filing system
  • Assist Import department with administration duties
  • Prioritising of Work load in accordance of deadlines & SOP
  • Cover for other teams during busy/holiday periods, including collection, delivery of documents
  • Supporting the Branch Managers to introduce measures to improve operational efficiency

Customer Service

  • Query Resolution - to resolve any operational queries from both internal & external departments in a timely & efficient manner
  • Ensure Accurate data entry with adjustments made in a timely manor
  • Reviewing SOP's on an ongoing basis to ensure compliance.
  • Reviewing internal operational procedures on an ongoing basis to ensure compliance.

General

  • Time Management - Ability to multi-task, organise and prioritise.
  • Basic proficiency in Microsoft Office Suite
  • Eager to learn, proactive, and able to work well in a team environment.

This would be an ideal role for a School, College/Uni leaver.

Job Types: Full-time, Permanent

Pay: Up to £26,000.00 per year
